Booking an appointment

Please call on 0345 11 33 200 or email Caroline at caroline@drmacfarlaneassociates.com for all appointment bookings.

We will require a GP referral letter for your initial appointment which your GP can send to Caroline, my PA, at caroline.anderson8@nhs.net or caroline@drmacfarlaneassociates.com

Paying for Appointments

If you have private medical insurance, we will need to know your provider name, membership number and authorisation code. We will invoice direct to your insurer, but you will liable for any shortfalls where applicable.

If you are self-funding we will send you an invoice detailing various options for payment approximately five to ten days after your appointment.

We do use the services of a debt collection agency if at any time invoices remain outstanding.

Cancellations/did not attend policy

If you need to cancel your appointment or move to another date, please give us a minimum of 24 hours’ notice. Appointments cancelled on the day or where you do not show will be invoiced at the full rate. Insurers will not cover this eventuality and so you would be liable for the fee at the full self-fund rate. Please call or email as soon as you know you will not be able to make your appointment.

Late Arrival

If you are running late for your appointment, we may need you to reschedule as you will not be able to be seen for the full appointment time. If Dr Macfarlane does deem it appropriate that you can still be seen please understand that you will have a shorter appointment and you will still be charged the full fee for this session.

Emails

Please note that although we are happy to receive emails and respond where necessary; it may, in some circumstances, be more appropriate to discuss certain clinical issues in an appointment setting.

Prescriptions

These are issued free of charge within an appointment setting. We charge a fee of £25 for prescriptions issued electronically.

If you wish to have a prescription posted to you, we charge additional fees as follows;

  • £5 for tracked post – total payable £30

  • £10 for next day signed for - total payable £35

Please note post prescriptions are subject to delay.

If you require a repeat prescription, please give a minimum of 7 days’ notice.

For prescriptions issued during an online appointment where you wish to have the prescription posted, we will levy a fee to cover the postage

  • £5 for tracked post

  • £10 for next day signed for

Discharge Process

As part of my duty of care, I need to review my patients regularly, so that I can effectively manage your mental health and any associated risks. We will discuss and agree this as part of our treatment plan.

Please be aware that if you have not been seen for over three months, unless otherwise agreed, you will be considered as having self-discharged from active follow-up and will be discharged from my care. Whilst we do make contact to offer follow-up reviews after your consultation, it is your responsibility to arrange an appointment if you do not hear from us.

We will advise you and your GP in writing that you have been discharged under these circumstances. If you have been discharged from my care and wish to be re-referred to me at a later date, you may need to provide an up-to-date GP referral letter and be subject to a new patient assessment.

Remote Consultations

We offer remote consultations to provide flexibility and convenience for our patients. These sessions are conducted exclusively via Zoom.

Dr Macfarlane may, on occasion, advise against remote appointments due to issues of clinical risk.

Fees for online consultations are the same as in-person appointments:

  • Initial online consultation (1 hour): £360

  • Follow-up online consultation (1 hour): £180

Prescriptions issued during online consultations may incur additional postage fees as detailed above.

Emergencies

Please note Dr Macfarlane is unable to provide an emergency or urgent response as part of her private practice. Dr Macfarlane is not available for contact at weekends or evenings and the switchboard at Priory Woking will be unable to connect you. Should you require medical attention or be in crisis outside of working hours you should contact your GP or Emergency services/A&E for advice and or treatment. If you are a day patient or inpatient on leave at Priory Woking, you will be able to access telephone support from the ward.

  • Outside of working hours, call 111 or Crisis team.
